Your privacy is important to us. KERNIT ("we", "us", or "our"), operated via kernit.org, is committed to protecting your personal data whilst providing a valuable service. This Privacy Policy explains what personal data we collect, how we use it, and your rights as a user. By creating an account or using KERNIT, you agree to the practices described in this policy. If you do not agree, please do not use the service.
2. What personal data we collect
We collect and process the following categories of personal data, depending on how you interact with the Service:
Account information. When you create an account we collect your email address. We also store your display name (if provided), subscription tier, and credit balance to operate the service.
Payment information. When you subscribe or purchase credits, your billing details are collected and processed by our third-party payment processors. We store only the transaction identifier, plan type, amount, and payment status. We never receive or store your credit card number, bank account details, or payment provider password.
Usage data. We log export activity including the journal preset selected, export format, timestamp, your IP address, and browser User-Agent string. This data is used for rate limiting, fraud prevention, and product improvement.
Inquiry data. If you submit an API access request or contact form, we collect your name, work email, organization, estimated monthly volume, and use case description. We also record your IP address and User-Agent for spam prevention.
3. How your documents are processed
The Formatter tool processes your manuscript entirely in your browser. Your paper text, references, author names, and all document content never leave your device. No manuscript content is transmitted to or stored on our servers.
The Cross-Reference Hyperlinker and server-side DOCX/LaTeX export features transmit your document content to our servers for processing. The document is processed in memory, returned to your browser, and immediately discarded. We do not store, log, or retain any manuscript content.
4. How we use your data
Your email and account data are used for authentication, access control, billing, and credit management. We use your email for service-related messages only, such as access request confirmations. We do not send marketing emails.
IP addresses and User-Agent strings are used for rate limiting, abuse detection, and fraud prevention. Aggregated, non-identifying usage data helps us improve the product.
We do not sell your data, use it for advertising, or share it with any party except as necessary to operate and maintain the Service.
5. Data sharing and international transfer
We use third-party service providers for authentication, database storage, cloud hosting, payment processing, analytics, and email delivery. Each of these providers processes only the minimum data necessary for their function and is contractually obligated to maintain confidentiality. Your data may be transferred to and processed in the United States, Singapore, and other jurisdictions where our service providers operate.
We use analytics on the marketing site only to measure traffic and user interactions. Analytics tools may set their own cookies and collect approximate location data. We do not use advertising cookies, cross-site tracking pixels, or remarketing technologies.
6. Cookies and local storage
We use your browser's local storage to retain your authentication session and formatting preferences between visits. We do not set any first-party cookies. Third-party analytics may set their own cookies on the marketing pages. No advertising or cross-site tracking technologies are used.
7. Data retention
We retain your account data for as long as your account is active. If you request account deletion, all associated data — including your email, subscription records, export logs, API keys, credit history, and payment records — is permanently removed within 30 days.
Contact form submissions and API access requests are retained for operational purposes unless you request their deletion. Document content processed by server-side features is held in memory only during processing and is never written to disk or database.
8. Data security
We protect your data using industry-standard measures including encrypted connections (HTTPS) for all data in transit, token-based authentication, row-level security policies on all database tables, and cryptographic hashing of API keys before storage. Webhook signatures from payment providers are verified to prevent tampering. No system is perfectly secure, and we cannot guarantee absolute security of your data.
9. Your rights
You have the right to access, review, correct, and delete your personal data. You may request a portable copy of your data at any time. You may withdraw consent to processing by deleting your account. To exercise any of these rights, contact hello@kernit.org.
10. European Economic Area and UK users
If you are located in the EEA or UK, we process your data under the following legal bases: contract performance (account and service delivery), legitimate interest (security, fraud prevention, product improvement), and consent (where applicable). We rely on standard contractual clauses and processor agreements to safeguard international data transfers. You have the right to lodge a complaint with your local data protection authority.
11. California residents
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA). We do not sell personal information. You may request disclosure of the categories and specific pieces of personal information we have collected, and you may request deletion. To exercise these rights, contact hello@kernit.org. We will not discriminate against you for exercising your CCPA rights.
12. Children's privacy
KERNIT is not directed at children under 16. We do not knowingly collect personal data from anyone under 16. If you believe a minor has created an account, contact us and we will delete it promptly.
13. Changes to this policy
We may update this policy from time to time. Material changes will be announced via an in-app notification at least 14 days before they take effect. Your continued use of the Service after that period constitutes acceptance of the updated policy. The "Last updated" date at the top of this page indicates the most recent revision.

These Terms of Service ("Terms") form a binding agreement between you ("User", "you", or "your") and KERNIT, operated via kernit.org ("we", "us", or "our"). By creating an account, accessing, or using the Service, you agree to be bound by these Terms and our Privacy Policy. If you do not agree, please do not use the Service.
2. Definitions
"Service" means the KERNIT web application at kernit.org, including the Formatter, Cross-Reference Hyperlinker, API, and all related features. "Content" means any manuscript text, references, documents, or other material you provide to the Service for processing. "Credits" means the unit of usage that governs access to export and hyperlinker features.
3. Service description
KERNIT is a browser-based academic paper formatting tool. It provides journal presets, document export in DOCX, LaTeX, and HTML formats, and a cross-reference hyperlinker. The Formatter processes documents entirely in your browser. The Hyperlinker and server-side export features process documents on our servers in memory, returning the result to your browser without storing any content. The KERNIT API provides programmatic access to hyperlinking features for approved users.
4. Account terms
You must provide a valid email address to create an account. You are responsible for maintaining the confidentiality of your credentials and for all activity under your account. You must provide accurate information when registering. You may not share your account or credentials with others, nor create multiple accounts to circumvent usage limits. Notify us immediately at hello@kernit.org if you suspect unauthorized access to your account.
5. Fees, credits, and billing
Access to export and hyperlinker features requires credits. Free-tier users receive a one-time signup bonus of credits. Subscription plans provide a monthly credit allocation that resets each billing cycle and does not carry over to the next cycle. Purchased credit packs are added to your balance and do not expire.
Subscriptions are billed in advance on a monthly or annual basis through our third-party payment processors. Subscriptions renew automatically until cancelled. You may cancel your subscription at any time; cancellation takes effect at the end of the current billing period. No prorated refunds are issued for partial billing periods.
All fees, unless otherwise indicated, are non-refundable. Consumed credits are non-refundable. Purchased credit packs are non-refundable once credited to your account. If you believe a charge was made in error, contact hello@kernit.org within 14 days and we will review it in good faith.
Pricing is listed in US dollars. All prices are exclusive of applicable taxes, which are your responsibility. We reserve the right to change pricing with 30 days' notice. If you fail to pay applicable fees, we reserve the right to suspend or restrict access to paid features.
6. Acceptable use
You may not use KERNIT for automated bulk processing or scraping beyond normal usage patterns; resell, sublicense, or redistribute formatted outputs as a commercial formatting service; reverse engineer, decompile, or attempt to extract the source code of any proprietary server-side logic; circumvent rate limits, credit systems, or access controls; use the Service for any purpose that violates applicable law; share API keys with unauthorized third parties; or interfere with the security, integrity, or availability of the Service.
Accounts that violate these terms may be suspended or terminated without notice.
7. API terms
Access to the KERNIT API requires prior approval. API keys are confidential and may not be shared. API usage is metered and consumes API credits. Rate limits apply as configured in your account. We reserve the right to revoke API access for misuse, excessive load, or violation of these Terms. The API is provided for integration into your own workflows, not for building competing services.
8. Intellectual property
You retain full ownership of all manuscripts and Content you process using KERNIT. We claim no rights over your Content. By using the Service, you grant us a limited, temporary license to process your Content solely for the purpose of delivering the Service. This license terminates immediately when processing is complete.
KERNIT's software, formatting logic, journal presets, user interface, documentation, and brand assets are our intellectual property and may not be copied, modified, or redistributed without prior written permission. All trademarks and service marks displayed on the Site are our exclusive property.
9. No journal acceptance guarantee
KERNIT formats documents based on publicly available journal style guidelines. We do not guarantee that any formatted output will be accepted by any journal, publisher, conference, or institution. Formatting guidelines change without notice, and discrepancies may exist between our presets and current journal requirements. You are solely responsible for reviewing and verifying your final document before submission.
10. Privacy
Your use of the Service is also governed by our Privacy Policy, which is incorporated into these Terms by reference. By using the Service you consent to the data practices described therein.
11. Third-party services
The Service relies on third-party providers for hosting, authentication, database storage, payment processing, and analytics. Your use of these services is subject to their respective terms and privacy policies. We are not responsible for the practices, availability, or content of third-party websites or services that may be linked from KERNIT.
12. Disclaimer of warranties
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, TIMELY, SECURE, OR ERROR-FREE, OR THAT ANY FORMATTED OUTPUT WILL MEET SPECIFIC JOURNAL REQUIREMENTS. YOUR USE OF THE SERVICE IS AT YOUR OWN RISK.
13. Limitation of liability
TO THE FULLEST EXTENT PERMITTED BY APPLICABLE LAW, KERNIT SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, DATA, USE, GOODWILL, MISSED SUBMISSION DEADLINES, MANUSCRIPT REJECTION, OR OTHER INTANGIBLE LOSSES, REGARDLESS OF WHETHER WE HAVE BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES. OUR AGGREGATE LIABILITY FOR ALL CLAIMS ARISING FROM OR RELATED TO THE SERVICE SHALL NOT EXCEED THE TOTAL AMOUNT OF FEES PAID BY YOU IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM, OR ONE HUNDRED US DOLLARS ($100), WHICHEVER IS GREATER.
14. Indemnification
You agree to indemnify, defend, and hold harmless KERNIT and its operators, affiliates, directors, and employees from and against any claims, damages, losses, liabilities, and expenses (including reasonable legal fees) arising from your use of the Service, your violation of these Terms, your violation of any third-party rights, or any Content you submit through the Service.
15. Termination
We reserve the right to suspend, restrict, or terminate your account at any time for violation of these Terms, abuse of the Service, or for any other reason at our sole discretion with reasonable notice. You may close your account at any time by contacting hello@kernit.org. Upon termination, your right to access the Service ends immediately and unused credits are forfeited. Sections that by their nature should survive termination — including Disclaimer, Limitation of Liability, Indemnification, and Governing Law — will survive.
16. Force majeure
We shall not be liable for any failure or delay in performing our obligations under these Terms where such failure or delay results from circumstances beyond our reasonable control, including but not limited to acts of nature, internet disruptions, hosting provider outages, government actions, or pandemic.
17. Governing law and dispute resolution
These Terms are governed by the laws of the Republic of Indonesia, without regard to conflict of law principles. Any disputes arising from these Terms or the Service shall first be resolved through good-faith negotiation. If negotiation fails, disputes shall be referred to binding arbitration or settled by a court of competent jurisdiction in Indonesia. You agree to waive any right to participate in class action lawsuits or class-wide arbitration against us.
18. General provisions
If any provision of these Terms is found to be unenforceable or invalid, that provision will be enforced to the maximum extent possible and the remaining provisions will remain in full force and effect. These Terms, together with the Privacy Policy, constitute the entire agreement between you and KERNIT regarding the Service and supersede all prior agreements, representations, and understandings. Our failure to enforce any right or provision of these Terms shall not constitute a waiver of such right or provision.
19. Amendments
We reserve the right to update these Terms at any time. Material changes will be announced via an in-app notification at least 30 days before taking effect.
